Privacy Information on Participation in Video Conferences

The protection of your privacy is a matter of great importance to the Lindner Group of companies, and one we take very seriously. We therefore wish to inform you about what data we process, when, and for what purpose. This privacy information explains the nature, scope, and purpose of the collection and use of your personal data by Lindner Group KG in connection with participation in video conferences.

Use of the Webex Video Conferencing Application
For efficient and reliable operational communication within and with our company, we use the cloud-based video conferencing application "Webex" provided by Cisco Systems, Inc. (170 West Tasman Dr. San Jose, CA 95134, USA).
Your personal data processed in the context of a video conference serves the technical execution of the meeting.
This data includes master data (first name, surname, email address, telephone number), telemetry data (IP address, user agent identifier), as well as personal data that may be contained in the communication.
The processing of data is necessary for the performance of a contract pursuant to Art. 6(1)(b) GDPR, in conjunction with the legitimate interests of the controller pursuant to Art. 6(1)(f) GDPR. The legitimate interest of the controller lies in effective communication within our company. In individual cases, the legal basis may be consent pursuant to Art. 6(1)(a) GDPR, for example when sharing one's own image or when the conference is to be recorded.
Processing and storage takes place primarily on servers within the EU/EEA. For technical operations, we engage our service provider Cisco Systems, Inc. on the basis of a data processing agreement and strict adherence to instructions. As Cisco is a company headquartered in the USA and engages sub-processors based in third countries, a transfer of personal data to a third country cannot be excluded. Cisco assures that it has taken appropriate safeguards. Recipients of the data are Cisco, including affiliated companies and service providers engaged by Cisco, as well as authorised internal departments of our company.
The personal data of the data subject will be deleted or blocked as soon as the purpose of storage ceases to apply. Storage may also take place where this has been provided for by the European or national legislator in EU regulations, laws, or other provisions to which the controller is subject. Data will also be blocked or deleted when a storage period prescribed by the aforementioned provisions expires, unless there is a need for further storage of the data for the conclusion or performance of a contract. The retention period for communication content (e.g., chat histories) is 360 days.
Use of AI-Supported Summarisation and Transcription
Additionally, functions are available in Webex in which data is processed by so-called artificial intelligence (AI). These functions include, for example, summarising chats, improving chat messages (autocorrection, tone of the message, or translation of messages). It has been ensured that no input data is used for training the AI models when using these functions. Please note that despite the implementation of technical measures such as content filters, erroneous, offensive, or unsafe content cannot be entirely excluded.
If you consent, certain formats can be automatically transcribed into text using AI-supported speech recognition. Additionally, an AI-based summary can be generated that clearly presents the key points of the meeting — for example, the agenda, key outcomes, decisions, and open tasks including the persons responsible. This content is available to participants and internally authorised colleagues for the follow-up of a meeting. The audio data generated is only processed on a transient basis. No permanent storage of this raw audio data takes place.
The purposes of the processing are the creation of minutes for later review of the conversation content and the structured follow-up of a meeting or appointment.
The legal basis is our legitimate interest in the efficient follow-up of a meeting pursuant to Art. 6(1)(f) GDPR.
Your contributions made during the meeting are processed, simultaneously converted into text, and linked to your participant information such as name or profile name. Key points and tasks with responsibilities can be automatically extracted from the content. The data originates directly from the respective meeting or webinar. Please do not share any sensitive information unless it is absolutely necessary. AI-generated content may contain errors. We recommend a factual review of important content.
Access to transcripts and summaries is granted exclusively to the participants of the respective meeting, as well as to internally authorised departments of our company.
The retention period for summaries and transcripts is generally 360 days or as long as is necessary for the stated purposes. After that, the data will be deleted or anonymised, unless statutory retention obligations or overriding legitimate interests preclude this.
Rights of the Data Subject
Right of Access
You have the right pursuant to Art. 15 GDPR to request information from the controller as to whether personal data concerning you is being processed. To this end, Lindner Group KG will provide an overview of the processing purposes, the categories of personal data processed, the respective recipients or categories of recipients, and a copy of the stored data.
Rights to Rectification, Erasure, and Restriction of Processing
You have the right pursuant to Art. 16 GDPR to request the immediate rectification of inaccurate personal data concerning you. Taking into account the purposes of processing, you also have the right to request the completion of incomplete personal data.
You have the right pursuant to Art. 17 GDPR to request that we delete personal data concerning you without undue delay, insofar as no other legal requirement prevents such deletion.
You have the right pursuant to Art. 18 GDPR to request the restriction of processing if:
Right of Withdrawal
You have the right to withdraw your consent at any time without giving reasons. The withdrawal of consent does not affect the lawfulness of the processing carried out on the basis of the consent prior to its withdrawal. Right to Object
You have the right to object at any time to the processing of your personal data based on Art. 6(1)(e) and Art. 6(1)(f) GDPR. In that case, we will no longer process the personal data unless we can demonstrate compelling legitimate grounds for the processing which override the interests, rights, and freedoms of the data subject.
You also have the right to lodge a complaint with the competent supervisory authority regarding the processing of data by our company.
